IAF - Updated Privacy Policy

This privacy policy explains to members of the International Association of Facilitators (IAF) and other users of the IAF’s website the kind of information the site collects, how, and for what purposes.

The IAF Privacy Policy does not supersede any country laws where IAF operates.

Collection of Personal Data

  • Visitors may browse the IAF’s web site without disclosing any personal data.
  • Users of the IAF website may be asked to voluntarily provide personal data, primarily during the process to become an IAF member, or when electing to complete an IAF member profile.
  • Personal data collected when electing to join the Association includes, but is not limited to, name, email and mailing addresses, phone number, and IAF region and chapter affiliations. Our payment processor, Authorize.net, collects additional information. We do not keep this information on file.
  • Non-IAF members who visit the site may elect to provide their name, region and email address for the purpose of receiving occasional updates from the Association via electronic mail.
  • The IAF does not collect information about our website visitors from other sources, such as public records or bodies, or private organisations.
  • The IAF does not knowingly collect personal data from children. We do not offer products or services of interest to children.

Use and Access of Personal Data

  • Data is collected via the website primarily for IAF membership administration, event registration and the technical administration of the website.
  • The IAF principally communicates with its members via email. The IAF uses email addresses to send IAF members information about their membership (e.g. confirmation and renewal notices); quarterly newsletters, occasional (typically no more than two per month) updates from the Board of Directors, and information from a member’s Regional Director.
  • The IAF also communicates with non-IAF members using the email address voluntarily submitted via the website.
  • We do not sell, rent or share any information collected via our website with other organisations. The only exception to this is Session Lab which hosts our Methods Library and gives access to active Members to use it on their website. 
  • We record and store personal data and other information in a secure database. Access to this database is limited to the IAF Board of Directors and designates, as well as to IAF office staff and contractors, including website administrators and technical support professionals.
  • Depending on the type of data harvested or submitted, different people can have different access.
  • In general, the IAF Office and its IT personnel have overall access to technical data and submitted content for the purpose of operating the website. The IAF Board has access to various personal and profile data once they are submitted. IAF chapter leads and connected services like the Methods Database may have access to a subset of your profile data. If you engage in certification, the Certification team may be processing your profile data (as well as your application).

More specific,

  • Data harvested by Google Analytics are accessible by Google, the IAF Office and IT personnel for statistical purposes.
  • Data submitted in general forms (like 'contact us') are accessible by IAF Office and IT personnel.
  • Data submitted in registrations and subscriptions are accessible by IAF Office, IT personnel and the IAF Board in order to deliver the requested services.
  • If you select a region, some of your data will be accessible to chapter leads in order to contact you about local activities.
  • If you become a member, some of your data will be accessible to connected services like the Methods Database in order to deliver their services.
  • If you engage in certification, a certification team will process your application as well as your existing profile information.
  • As a member, you can choose to share parts of your profile with other members.
  • As a certified member, you can choose to share the same parts of your profile on the public IAF website.

How long do we store your data?

  • Data harvested by Google Analytics are set to be deleted in 38 months.
  • Data submitted in general forms, like contact us, will be deleted in [max 36 months] after they have been processed.
  • Data submitted in registrations and subscriptions, and the profile you maintain on the website, will be kept on file indefinitely in order to maintain a full and working history of your account, so you can reconnect at any time. Personal data may be shared with regional directors and chapter chairs outside the secure database only after signature of a legally binding data use agreement.

Personal Choice Options

IAF members may choose:

  • To be listed in the IAF Members Directory, made available to other IAF members;
  • To be included in the “Find an IAF CertifiedTM Professional Facilitator” listing, if qualified.
  • To upload publications to the IAF Author section of the site’s Knowledge Centre.
  • To join an IAF Chapter or Special Interest Group. This provides contact details to the authorized lead of that group.

For both the IAF Member and CPF Directories, members may choose not to share any or all of the following: their entire profile; their physical address details from the profile; their email address from the profile.

  • An IAF member may alter or delete the display of their personal information and adjust their communication settings by logging into the site and accessing the IAF member profile.
  • The IAF reserves the right to refuse to provide any visitor with personal data. If we refuse, we will give reasons for our refusal. In order to protect you, we will not provide information if we are unable to verify the identity of the person making the request. You may challenge our decision to refuse to provide personal data by contacting the IAF office.

News, offers and opportunities from us and our sponsors and partners (which we provide only with your consent)

We want you to be the first to know about our news, updates and announcements such as FIA and the Global Flipchart. You can unsubscribe by clicking unsubscribe at the bottom of any email from IAF or by writing to us at the office@iaf-world.org. You also have the ability to change your email preferences in your member profile. Please note, if you don’t choose to receive this information, we will be unable to keep you informed of news, updates and announcements such as FIA and the Global Flipchart or special offers that may interest you and our ability to inform you about them may be affected. If you express an interest in an offer from one of our sponsors or partners, they may let us know.

Information Security

  • The IAF has implemented security measures to protect your personal data from unauthorized access, improper use or disclosure, unauthorized modification and unlawful destruction or accidental loss.
  • All our members, volunteers, employees and data processors who have access to personal data are obliged to respect its confidentiality.
  • We ensure that your personal data will not be disclosed to state institutions and authorities except if required by law or other regulation.

What cookies do we use and why?

The IAF uses the following cookies on its site:

  • Strictly functional cookies: These cookies allow users to navigate the website, remember applied settings and facilitate member’s log-in and access to features;
  • Performance cookies: These cookies collect information about how visitors use the website (analytics), for example, to help us improve error management within the site; and to test different designs and help to optimize the delivery of certain media (such as video).
  • Targeting cookies: These cookies link to services provided by third parties, such as Facebook, LinkedIn, YouTube and Twitter, for functions such as “Like” and “Share” buttons. Third Parties provide these services in return for recognizing that a user have visited the IAF website.
